As the environmental guardian for the community, the Promontory Conservancy serves as the Promontory Home Owner's Association, ensuring that policies protecting the community's open spaces are upheld, which includes designating open space around custom homesites and maintaining Promontory's internal trail system and neighborhood parks. The Conservancy also oversees the operation of Promontory's gatehouses and security patrol within the community and provides maintenance and snow plowing for Promontory's roadways. The Conservancy serves the important function of administering and enforcing Promontory's Declaration of Covenants, Conditions, and Restrictions as well as Promontory's Design Guidelines as it facilitates the design and site-planning process for all custom homes to ensure that value-protecting standards are met and oversees enforcement within the community of standards for architecture, landscaping, and property use.

Members of the Board essentially act as the managers of Promontory's homeowner's association, and each Board member affirmatively undertakes to make informed, thoughtful decisions that are necessary for the Conservancy's continued and successful day-to-day operation.
Summit County provides residential trash and recycling pick up at Promontory through Allied Waste. Promontory’s regular pick up time is Thursdays, at 7:00 am. Trash is picked up every week and the recycling bin is picked up every other week.
